1. Who we are (data controller)

This Privacy Policy applies to the website and services operated at https://apollovid.com under the product name Apollo Vid.

The data controller responsible for personal data processed through the Service is:

In this Privacy Policy, "Apollo Vid", "we", "us", and "our" refer to the controller identified above.

2. Scope

This Privacy Policy describes how we collect, use, disclose, retain, and protect information when you visit our website, create an account, upload or generate content, connect social media accounts (including TikTok), schedule or publish posts, subscribe to a paid plan, or otherwise use our video clipping, scheduling, and publishing services (collectively, the "Service").

By using the Service, you acknowledge this Privacy Policy. If you do not agree, do not use the Service. Our Terms of Service also apply.

3. Information we collect

3.1 Account information

When you register, we collect your email address and a hashed password. If you sign in with a supported third-party identity provider, we receive the profile information that provider shares with us (typically email address and display name).

3.2 Content and project data

We store videos, audio, transcripts, clip selections, captions, titles, thumbnails, schedules, templates, and related metadata that you upload or generate through the Service. Media files remain on our infrastructure for as long as the associated project or account exists, subject to Section 8 (retention).

3.3 Connected social accounts (including TikTok)

When you connect YouTube, TikTok, Meta (Instagram/Facebook), X, or other supported platforms, we store OAuth access tokens and refresh tokens required to act on your behalf, encrypted at rest (AES-256-GCM). We also store account identifiers and display names returned by each platform.

For TikTok specifically, depending on the permissions you grant via TikTok Login Kit / Content Posting API, we may receive and store:

  • user.info.basic — TikTok open_id, display name, username / avatar URL where provided, and profile link, used only to identify the connected account inside Apollo Vid.
  • video.upload and video.publish — permission to upload and publish videos you create or schedule in Apollo Vid to your TikTok account via the Content Posting API (Direct Post).

We do not request TikTok scopes we do not need. We do not read your TikTok Direct Messages, contacts, or private browsing history through the Service.

3.4 Usage and technical data

We automatically collect IP address, browser type, device type, operating system, pages visited, referring URLs, approximate location derived from IP, and timestamps. We use this to operate, secure, debug, and improve the Service.

3.5 Payment information

Paid subscriptions are processed by Stripe. We receive billing status, plan type, and limited customer identifiers. We do not store full payment card numbers on our servers.

3.6 Communications

If you contact us by email or WhatsApp, we keep the message content and contact details needed to respond.

4. How we use your information

We use personal data only for the following purposes:

  • Provide, maintain, and improve the Service (video processing, clip generation, scheduling, publishing).
  • Authenticate accounts and manage sessions.
  • Publish videos to connected social accounts only when you schedule or confirm a publish action in the Service.
  • Process payments and manage subscriptions.
  • Send service communications (verification, security alerts, billing notices).
  • Monitor usage, diagnose issues, prevent fraud and abuse, and enforce our Terms of Service.
  • Comply with legal obligations and respond to lawful requests.

Legal bases under Brazil's LGPD (and, where applicable, GDPR) include performance of a contract, legitimate interests in securing and improving the Service, consent where required (for example certain cookies or optional communications), and legal obligation.

5. TikTok data use, sharing, and commitments

If you connect a TikTok account, you authorize Apollo Vid to access TikTok data and capabilities through the TikTok for Developers products we have configured (Login Kit and Content Posting API). We process TikTok-related data solely to provide the features you request.

What we do with TikTok data

  • Display which TikTok account is connected in your Apollo Vid workspace.
  • Upload and publish videos, captions, and metadata you choose to your TikTok account.
  • Refresh OAuth tokens so scheduled publishes can complete while your account remains connected.

What we do not do

  • We do not sell TikTok user data.
  • We do not share TikTok profile data with advertisers or data brokers.
  • We do not use TikTok profile data to train foundation machine-learning models.
  • We do not post to TikTok without an explicit publish action or a schedule you created.
  • We do not transfer TikTok user data to third parties except as needed to operate the Service (see Section 7) or as required by law.

We comply with the TikTok Developer Terms of Service, the TikTok Developer Data Sharing Agreement, and applicable TikTok product guidelines for the scopes we request. TikTok's own practices are described in TikTok's Privacy Policy.

Disconnecting TikTok

You may disconnect TikTok at any time in Apollo Vid (Studio → Connections). Disconnecting deletes stored TikTok OAuth tokens from our systems. You may also revoke Apollo Vid's access in your TikTok account settings (TikTok → Settings and privacy → Security and login / Apps and permissions, or the equivalent path in your region). After revocation we can no longer publish on your behalf.

6. AI and automated processing

To find clip moments, generate captions, or assist with content creation, we may send audio, transcripts, or text excerpts to third-party AI providers (such as OpenAI or Groq). We send only the content needed for the requested task. We do not send your social-media OAuth credentials, TikTok tokens, or payment card data to AI providers. AI outputs are used to operate features you request inside the Service.

7. How we share information

We do not sell your personal information. We may share information only as follows:

  • Service providers — hosting, storage, analytics, payment processing (Stripe), AI processing, email delivery, and similar vendors that process data on our behalf under contractual confidentiality and security obligations.
  • Social platforms — when you publish, the destination platform (including TikTok) receives the video, caption, privacy level, and metadata required to complete the post.
  • Legal requirements — when required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Apollo Vid, our users, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.

8. Data retention and deletion

We retain account information for as long as your account is active. Project media and metadata are retained until you delete the project or your account. OAuth tokens for connected accounts are deleted when you disconnect the account or delete your Apollo Vid account.

After you request account deletion, we delete or anonymize personal data from production systems within thirty (30) days, except where we must retain limited records for security, fraud prevention, dispute resolution, backups (rotated on a limited schedule), accounting, or legal compliance.

To request deletion of your account and associated personal data, email [email protected] with the subject line "Delete my Apollo Vidaccount" from the email address on your account, or use in-product account deletion where available.

9. Data security

We use administrative, technical, and organizational measures designed to protect your information, including encryption of OAuth tokens at rest, access controls, and HTTPS in transit. No method of transmission or storage is completely secure; we cannot guarantee absolute security. If we become aware of a breach affecting your personal data, we will notify you and regulators as required by applicable law.

10. Your rights and choices

Depending on your location (including under Brazil's LGPD and, where applicable, the GDPR or similar laws), you may have rights to:

  • Confirm whether we process your personal data and access it.
  • Correct incomplete, inaccurate, or outdated data.
  • Request anonymization, blocking, or deletion of unnecessary or non-compliant data.
  • Request portability of data to another service provider, where technically feasible.
  • Withdraw consent where processing is based on consent.
  • Object to or restrict certain processing.
  • Lodge a complaint with a supervisory authority (in Brazil, the ANPD).

You can update account details in the Service, disconnect social accounts from Connections, and delete projects to remove associated media. To exercise privacy rights, contact [email protected]. We will respond within a reasonable time and as required by applicable law (typically within 15 days under LGPD, unless a longer period is permitted).

11. International transfers

We may process and store information in Brazil and in other countries where our infrastructure and service providers operate (including the United States). When we transfer personal data internationally, we take steps designed to ensure an appropriate level of protection consistent with applicable law, such as contractual safeguards with processors.

12. Children's privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13 (or under the minimum age required in your jurisdiction to consent to data processing). TikTok and other platforms may impose higher minimum ages; you must also meet those platform requirements. If you believe a child has provided us personal information, contact us and we will delete it.

13. Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. Essential cookies are required for authentication and security. You can control cookies through your browser settings; disabling cookies may limit features, including sign-in.

14. Third-party links and services

The Service may link to third-party websites or integrate with third-party platforms (including TikTok, YouTube, Meta, X, Stripe, and AI providers). Their privacy practices are governed by their own policies. We are not responsible for the privacy practices of third parties.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Material changes may be communicated by email or in-product notice where required by law. Continued use of the Service after changes become effective constitutes acceptance of the updated policy, except where applicable law requires additional consent.
